Privacy Policy

Information We Collect

To create and run your account, we collect:

• Account details: your email address and password (stored as a hash, never in plain text)
• Business profile: legal name, entity type, EIN, mailing address, phone number, fiscal year end, and an optional logo, if you fill these in under company settings. We treat this as business information, not personal information, regardless of how your company is structured.
• Your ledger data: the accounts, journal entries, and reports you create in LedgerWriter
• Team invites: the email address of anyone you invite to your company
• Basic technical data: your IP address, used briefly to prevent abuse, not stored long-term

"Bank account type" in LedgerWriter (checking, savings, etc.) is a label you type in yourself. We don't connect to your bank, and we never collect real account or routing numbers.

If you apply for a job with us, we collect your name, email, the role you applied for, and your resume, handled separately from customer data and used only for recruiting.

We collect all of this directly from you — when you sign up, use the product, or apply for a job. We don't buy personal information about you or receive it from data brokers.

How We Use Your Information

We use what we collect to:

• Provide the service: run your ledger, generate your reports, keep your account working
• Support you: respond when you email us, troubleshoot problems
• Bill you: process payments for paid plans
• Keep things secure: detect abuse, enforce rate limits, prevent fraud
• Tell you what you need to know: account, billing, and security emails

We don't use your data to train models, build advertising profiles, or for any purpose beyond running and improving LedgerWriter for you.

If you apply for a job with us, we use your information only to evaluate your application and communicate with you about it.

Who We Share It With

We don't sell your personal information, and we don't share it for cross-context behavioral advertising, because we don't run any advertising or analytics on LedgerWriter. The only outside companies that ever see your data are the vendors we use to run the service:

• Stripe, to process payments. Your card details go straight to Stripe; our servers never see or store your full card number.
• Cloudflare, to send account and security emails, run our infrastructure, and check that signups aren't bots.

We only send these vendors what they need to do their job, and only for that purpose, and we don't authorize them to use it for anything else. We'll disclose information beyond this if required by law, such as in response to a valid subpoena.

Cookies and Tracking

LedgerWriter uses exactly one cookie: a session cookie that keeps you logged in. It's strictly necessary for the service to work and isn't used to track you.

We don't run analytics, advertising pixels, or any cross-site tracking technology on our marketing site or in the app. Because we don't track your activity across other sites or services, there's nothing for a browser "Do Not Track" or Global Privacy Control signal to turn off, and we don't use either signal to change what we collect.

Your Rights and Choices

You can download your data (accounts, journal entries, reports) at any time, in standard formats, whether or not you plan to keep using LedgerWriter.

You can cancel any time from Settings → Billing → Cancel. Your access stops immediately, your data stays available for 30 days so you can export it, and after 30 days we permanently delete it.

If you applied for a job with us, you can request a copy of your application, or ask us to delete it, at any time: email legal@ledgerwriter.com.

Your California Privacy Rights

If you're a California resident, you have the right to know what personal information we hold about you, request its deletion, or request correction of an inaccurate name or email on your account. You, or someone you've authorized to act on your behalf, can email legal@ledgerwriter.com for any of these requests; we'll verify your identity and respond within the time California law requires.

Correcting your profile updates your current information going forward; because we keep a historical record for audit purposes, past snapshots aren't rewritten. Your ledger data itself isn't corrected this way — as with any accounting system, a mistaken journal entry is fixed with an adjusting entry, not an edit to history.

You can update your business profile (legal name, EIN, address, phone) any time from company settings, or by emailing support@ledgerwriter.com. That's ordinary account management rather than a privacy request, since we treat that information as business data, not personal information.

Because we don't sell or share personal information, there's no opt-out to request. And we won't treat you differently, charge you more, or give you a worse experience for exercising any of these rights.

Children's Privacy

LedgerWriter is business accounting software, built for companies and the professionals who work with them. It isn't directed at children, and we don't knowingly collect personal information from anyone under 13.

How We Protect Your Data

We encrypt your data at rest and in transit, restrict access by role, and monitor for suspicious activity.

We don't currently hold SOC 2, ISO 27001, or other third-party security certifications. Current security documentation is available on request at legal@ledgerwriter.com.

How Long We Keep Your Data

While your account is active, we keep your account, business profile, and ledger data for as long as you keep using LedgerWriter — accounting records are only useful if the history is complete.

When you cancel, we keep your data for 30 days so you can export it, then delete it permanently. We don't keep it any longer than that once you've asked us to close your account.

If you apply for a job with us, we keep your application only as long as we're considering candidates for that role (or a similar future one), then delete it.

Changes to This Policy

If we make a material change to this policy, we'll email you at least 30 days before it takes effect. Small clarifications, like fixing a typo, take effect immediately.
